This Privacy Policy explains how Remote-I Ltd (“Remote-I”, “we”, “us”, “our”) collects, uses, stores and shares personal data when you use our web-based platform and related services.

This Policy does not describe in detail how hospitals process patient data in their own systems (RIS/PACS/HIS). For such processing, the hospital remains the data controller and its own privacy notices apply.

For user account data (Radiographers and Hospital Users), platform configuration and usage logs, Remote-I Ltd acts as data controller.

For any patient-related data that may be processed via the platform (which we design to minimise), Remote-I typically acts as a data processor on behalf of the relevant hospital or healthcare provider (the data controller). In such cases, a separate Data Processing Agreement (DPA) will apply.

We use personal data to create accounts, match jobs, support compliance checks, record job lifecycles for audit, send notifications, and improve security. We do not use personal data for general marketing without your consent.

We may share data with Hospitals (relevant to jobs), other Radiographers (limited for handover), Service Providers (hosting/SMS), and Authorities (legal obligations). We do not sell personal data.

Remote-I may store data in the UK or EU. Where personal data is transferred outside the UK/EU, we ensure appropriate safeguards (e.g. Standard Contractual Clauses) are in place.

We retain data for the lifetime of the account plus a reasonable period, or as required by law/clinical governance. Logs are kept for limited security periods.

We use encrypted connections (HTTPS), access controls, MFA, backups, and audit logging. No system is 100% secure; please use strong passwords.

Our public marketing website uses Google Analytics 4 (GA4) to understand high-level usage (such as pages viewed, approximate location, device and browser type). We configure GA4 with privacy-minimising settings, including IP anonymisation and the disabling of advertising features and ad personalisation signals.

Analytics data is used only in aggregate to improve website clarity and performance and is not used to track individual users or to process clinical or patient information.
