This Privacy Policy explains how Remote-I Ltd (“Remote-I”, “we”, “us”, “our”) collects, uses, stores and shares personal data when you use our web-based platform and related services.

1. Scope of this Policy

This Policy applies to:

• Radiographers and other individual professionals using Remote-I;
• Hospital and diagnostic centre users using Remote-I on behalf of their organisation;
• Visitors of our website.

This Policy does not describe in detail how hospitals process patient data in their own systems (RIS/PACS/HIS). For such processing, the hospital remains the data controller and its own privacy notices apply.

2. Data controller and roles

For user account data (Radiographers and Hospital Users), platform configuration and usage logs, Remote-I Ltd acts as data controller.

For any patient-related data that may be processed via the platform (which we design to minimise), Remote-I typically acts as a data processor on behalf of the relevant hospital or healthcare provider (the data controller). In such cases, a separate Data Processing Agreement (DPA) will apply.

3. Personal data we collect

We may collect and process the following categories of personal data:

Account and contact data

• Name, e-mail address, password (hashed), role, telephone number.
• Organisation details (hospital / diagnostic centre name, department, address).

Professional profile (Radiographers)

• Professional registration body and number (e.g. HCPC), qualifications, years of experience.
• Modalities, areas of expertise, preferred working locations and availability.
• Uploaded CV, profile picture, references and feedback.

Compliance documentation

• Right-to-work documentation, proof of indemnity insurance.
• DBS / criminal record check confirmations, training certificates (with expiry dates).

Platform usage data

• Jobs created, accepted, declined, started and completed.
• Job-related messages, incident reports, and audit logs.

Technical data

• IP address, browser type/version, device info, and security logs.

4. Legal bases for processing

We process personal data on the following legal bases:

• Contract performance: To operate your account and provide services.
• Legitimate interests: For security, abuse prevention, and clinical governance.
• Legal obligations: Tax, accounting, or regulatory records.
• Consent: Where explicitly required by law.

5. How we use personal data

We use personal data to create accounts, match jobs, support compliance checks, record job lifecycles for audit, send notifications, and improve security. We do not use personal data for general marketing without your consent.

6. Sharing of personal data

We may share data with Hospitals (relevant to jobs), other Radiographers (limited for handover), Service Providers (hosting/SMS), and Authorities (legal obligations). We do not sell personal data.

7. International transfers

Remote-I may store data in the UK or EU. Where personal data is transferred outside the UK/EU, we ensure appropriate safeguards (e.g. Standard Contractual Clauses) are in place.

8. Data retention

We retain data for the lifetime of the account plus a reasonable period, or as required by law/clinical governance. Logs are kept for limited security periods.

9. Your rights

Subject to law, you may have rights to access, rectify, erase, or restrict your data. Contact support@remote-i.com to exercise these rights.

10. Security

We use encrypted connections (HTTPS), access controls, MFA, backups, and audit logging. No system is 100% secure; please use strong passwords.

11. Changes to this Policy

We may update this policy. Significant changes will be notified via email or the platform.

12. Website analytics

Our public marketing website uses Google Analytics 4 (GA4) to understand high-level usage (such as pages viewed, approximate location, device and browser type). We configure GA4 with privacy-minimising settings, including IP anonymisation and the disabling of advertising features and ad personalisation signals.

Analytics data is used only in aggregate to improve website clarity and performance and is not used to track individual users or to process clinical or patient information.

13. Contact

Our contact page uses reCAPTCHA to protect against automated abuse and spam submissions. This may involve Google processing device and behavioural signals to assess whether a submission is likely to be legitimate. Remote-I Ltd
